Privacy Policy

SG Coaching (“we”, “us”, “our”) provides football coaching and development programs for young players. We take the privacy of the families who train with us seriously, and we are especially careful with information about children. This policy explains what personal information we collect, why we collect it, who we share it with, and how you can access or correct it.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Information we collect
When a player registers with us, we collect:
- Player details — full name, date of birth, current club or competition level, current team, and preferred playing positions.
- Parent or guardian details — name, phone number and email address.
- Health and safety information — emergency contact details and any medical conditions, allergies or injuries you choose to tell us about, so we can keep your child safe during sessions.
- Payment information — the membership type and payment schedule you select, and a record of payments made. Card numbers are entered directly with our payment processor and are never stored on our website or our servers.
- Correspondence — messages you send us and our replies.
- Technical information — standard web server logs such as IP address, browser type and pages visited, used for security and to keep the site running.
Why we collect it
We use this information to assess registration applications, select and organise squads, run training sessions safely, communicate with parents and guardians about scheduling and program changes, process fees, and meet our record-keeping and insurance obligations. We do not sell personal information, and we do not use it for unrelated marketing.
Children’s information and parental consent
Our programs are for young players, so most of the information we hold relates to children. Registrations must be submitted by a parent or legal guardian, and by submitting a registration you confirm that you have authority to provide the child’s information and consent to it being handled as described in this policy.
We limit access to children’s information to the coaching and administrative staff who need it to run the program. A parent or guardian may withdraw consent, or ask us to correct or delete their child’s information, at any time using the contact details below.
Photographs and video
We sometimes take photographs or video at training sessions and matches for coaching review and to promote our programs, including on our website and social media channels. We ask for your consent for this during registration, and consent is optional — declining will not affect your child’s place in the program or how they are coached.
You can change your mind at any time. If you ask us to stop using an image of your child, we will remove it from material we control as soon as reasonably practicable.
Who we share information with
We disclose personal information only where it is necessary, and only to:
- our payment processor, to take and record payments securely;
- our website hosting and email providers, who store the information on our behalf;
- coaching and administrative staff and contractors engaged by us, who are required to keep it confidential;
- medical or emergency services, if a player is injured or unwell and it is necessary to protect their health or safety;
- football governing bodies, clubs or competition organisers, where participation requires it and you have been told in advance;
- anyone else where you have asked or agreed, or where we are required or permitted by law.
Overseas disclosure
Some of the service providers we rely on, including our payment processor, operate or store data outside Australia, including in the United States and the European Union. Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
How we protect it
Our website is served over an encrypted connection and access to registration and payment records is restricted to authorised administrators. Payment card details are captured directly by our payment processor on their own secure systems; we never see or store full card numbers. No system is perfectly secure, but we take reasonable steps to protect personal information from misuse, loss, and unauthorised access, modification or disclosure.
How long we keep it
We keep registration and payment records for as long as a player is enrolled with us, and afterwards for as long as we need them to meet our legal, tax, insurance and safeguarding obligations. When information is no longer needed for any of these purposes, we destroy it or permanently de-identify it.
Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you or your child, and ask us to correct anything that is inaccurate, out of date or incomplete. Contact us using the details below and we will respond within a reasonable period. There is no charge for making a request. If we cannot give you access, we will explain why in writing.
Cookies
Our website uses cookies that are necessary for it to function, such as keeping you logged in and remembering your progress through a registration or payment form. You can block or delete cookies in your browser settings, though parts of the site may not work correctly if you do.
Complaints
If you believe we have mishandled your personal information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can make a complaint to the Office of the Australian Information Commissioner at oaic.gov.au or by calling 1300 363 992.
Changes to this policy
We may update this policy from time to time. The current version is always available on this page, and the date at the top shows when it was last changed. If we make a significant change to how we handle personal information, we will let registered families know.
